# Read a 1099-R distribution code with the transaction record

Review retirement distribution codes, gross amounts, withholding and account records without treating a code as a complete tax result.

A retirement payment can leave several different numbers in your records: the gross distribution, the amount deposited, tax withheld and a reported taxable amount. The distribution code adds another piece of information about the transaction. None of those entries should be reviewed in isolation.

Start with the original issuer’s 1099-R and the underlying account transaction. Identify what happened, then read the code using the instructions for that reporting year. The code helps describe the distribution; it does not answer every tax question about it.

## Match the form to the account and event

Confirm the payer, recipient, calendar year and account reference. Then locate the account record for the withdrawal, rollover, conversion or other event. If you received multiple forms, do not assume they are duplicates because they came from the same financial institution.

Create one line per statement in your index. Include the account reference without exposing the full number, the reported gross amount and the event description from your records. Keep different accounts and different distribution events separate until their relationship is clear. That makes it easier to ask the issuer about a particular statement.

## Use the code as a description to investigate

The code field is commonly box 7 or 7a, depending on the form edition. The official instructions list the codes and permitted combinations. This short table contains examples, not the full list or the conditions for selecting a code.

| 1 | Early distribution, no known exception | Withdrawal details and relevant circumstances |
| 4 | Distribution associated with death | Beneficiary and inherited-account records |
| 7 | Normal distribution | Account type and distribution record |
| G | Direct rollover in specified circumstances | Rollover transaction and receiving-account record |

## Separate the gross amount from the deposit

Form 1099-R has separate fields for gross distribution, reported taxable amount and federal income tax withheld. Compare each with its corresponding record. A bank deposit can be smaller than the gross distribution because amounts were withheld, so the deposit alone does not establish that the gross figure is wrong.

For a fictional arithmetic example, a transaction record could show a $10,000 gross distribution, $1,500 withheld and $8,500 deposited. Those figures explain a cash difference; they do not establish the taxable amount or withholding required for a real distribution. Check the actual statement and account detail rather than deriving every field from the bank receipt.

## Do not turn a code into a final tax conclusion

A code needs context, including the account type and transaction facts. A normal-distribution label does not mean that the distribution is automatically tax-free. An early-distribution code does not, by itself, settle every possible exception or return treatment. Review the relevant guidance or provide the records to your preparer.

Likewise, a blank reported taxable amount or a taxable-amount-not-determined mark deserves attention. Do not automatically replace the blank with zero or the gross amount. Preserve the issuer’s entry and gather the records needed to understand it. A form preparation workflow records reviewed answers; it should not guess missing tax conclusions.

## Give the issuer a question it can answer

If the transaction record and form appear inconsistent, identify the account, year, code and amount in your request through the issuer’s secure channel. For example: “Please explain the distribution code on this statement and how it corresponds to the rollover recorded on \[date\].” Attach or reference the relevant evidence using its approved process.

Retain the response and any corrected form with the original. If preparing an authorized PDF from reviewed records, compare all code characters, boxes and amounts after generation. Formz does not retrieve retirement-account history, choose an exception or calculate the taxable distribution. Its PDF is also separate from any issuer correction or agency filing. Keep those remaining responsibilities visible in your record packet.

## Common questions

Does code 7 mean the distribution is tax-free?

No. It is a distribution description. Review the account, reported amounts and applicable rules to determine the return treatment.

Why is my bank deposit smaller than the gross distribution?

Review withholding and other recorded transaction details. The net cash received and the gross distribution are different figures.
