# Received a corrected W-2? Keep the old and new records together

Review a wage-statement correction, document what changed and distinguish an employer correction from editing a PDF.

A corrected wage statement can arrive after you have organized your records or filed your return. Before replacing a file, establish exactly what changed. A corrected name, an address update and a wage adjustment do not all create the same follow-up work.

Keep the original statement, the correction and the employer’s explanation together. That gives you a record of what was first reported, what was changed and who made the change. It also helps a preparer evaluate whether your tax return needs further attention.

## Confirm that the correction came from the employer

If you noticed the problem yourself, contact payroll with the disputed box and supporting record. Ask whether it agrees there is an error and how it will correct the reporting. Use a known contact, especially if the issue involves a name or identification number.

The IRS identifies Form W-2c as the form used to correct specified W-2 errors. SSA provides separate guidance for employers submitting wage corrections. A worker editing their own PDF does not update the employer’s submission to SSA. The responsible employer needs to handle the reporting process and provide the appropriate corrected statement.

## Write down the before-and-after values

For each affected field, note its label, original value and corrected value. Distinguish a field that was corrected from a field that was simply not repeated on the correction. Read the actual form and accompanying explanation instead of assuming every blank means zero.

In a fictional example, an employer changes federal wages from $42,000 to $42,600 after reviewing a payroll adjustment. Your comparison note would identify box 1, the two figures, the $600 difference and the employer’s explanation. It would not automatically change every other wage or withholding box. Review each affected entry separately and ask payroll about any unexplained relationship.

## Consider where you are in the filing process

If you have not filed your tax return, include the correction in the material you provide to your preparer or use in your tax-return workflow. Make it visible; do not leave it buried in a general downloads folder while working from the original W-2.

If you already filed, a change may require further action depending on the error and your return. Give the original, corrected statement and filing status to a qualified preparer, or review the applicable IRS amendment guidance. This article does not decide whether an amended return is required. A correction to the document and a correction to a tax return are separate questions.

## Resolve differences in supporting payroll records

Check whether the explanation identifies an omitted payment, a void, a benefit entry or an identity issue. Compare it with the relevant payroll period rather than only the last paystub. If an off-cycle payment caused the correction, retain that payment record with the explanation.

A useful follow-up is: “Please confirm which fields were corrected, which payroll transaction supports the change, and whether I should expect another statement.” This helps prevent a series of partial corrections from becoming an ambiguous file collection. Keep a note of the date you received each version and whether the employer says the matter is resolved.

## Preserve the history when naming and sharing files

Use clear file labels such as issued-original and corrected-received-date. Avoid overwriting the original. When sharing records with your preparer, provide the correction alongside the earlier form and identify it in your message. Do not add both wage totals together as if they represented separate jobs.

If you prepare a PDF from reviewed records, label its role accurately and retain the records supporting the entries. Formz does not offer a W-2c creator or submit wage corrections to SSA. Creating a revised standard W-2 PDF is not proof that an employer corrected agency reporting. Finish the task by obtaining the issuer’s correction and documenting any tax-return follow-up that remains.

## Common questions

Should I delete the original W-2 after receiving a correction?

Keep it with the correction and explanation. The pair shows what changed and gives your preparer a clear reporting history.

Does editing a W-2 PDF correct the SSA wage record?

No. Agency reporting requires the employer’s appropriate correction process. A revised PDF alone does not establish that a submission was changed.
