# Home-office records to gather before preparing Form 8829

Organize space, expense and prior-year records for a reviewed Form 8829 without choosing eligibility or deduction amounts from a room size.

A room measurement and a utility total do not complete a home-office review. You need records showing the space, how it was used, when the use occurred, and the expenses under consideration. You also need a separate decision about eligibility and the appropriate method.

Gather those facts before preparing Form 8829. The form deals with expenses for business use of a home in specified circumstances, but entering a square-footage percentage does not prove a deduction is allowed. A preparation tool should receive reviewed amounts rather than invent the tax analysis.

## Confirm the form’s role before assembling amounts

The IRS describes Form 8829 as figuring allowable business-use-of-home expenses for Schedule C and applicable carryovers. Its instructions identify requirements, limitations and situations in which the form is not used. Review the edition for the relevant year and the broader guidance in Publication 587.

If someone has already reviewed your home-office treatment, keep the written worksheet or instructions with the record packet. If that review has not happened, list it as an open question. Do not assume that working at home, having a desk or paying a utility bill independently determines eligibility or the correct calculation method.

## Document the actual space and dates

Keep a floor plan, measurements and a factual description of how the space was used. Identify the whole-home measurement used in the review and the business area under consideration. Note changes during the year, including moves, a new room or periods when the space served another purpose.

For a fictional consultant who moved in June, the packet should distinguish the earlier and later homes rather than offering one unexplained annual room percentage. The IRS instructions address separate homes and part-year use. Your records should preserve the dates and measurements so the reviewer can apply the appropriate rules to the actual facts.

## Separate whole-home expenses from specific-area expenses

Form 8829 instructions distinguish direct expenses benefiting the business area from indirect expenses benefiting the entire home. Preserve the invoice description and location of the work so those categories can be reviewed. A repair description that only says maintenance may need additional explanation.

Consider a fictional invoice for painting one office room and another for repairs to the whole heating system. Those records describe different scopes of work. Do not apply the same percentage to both without reviewed treatment. Keep the original bills, payment evidence and dates, and separate expenses unrelated to business use of the home rather than pushing every household purchase into the worksheet.

## Keep property and prior-year information available

The review may need purchase records, relevant property information, prior Form 8829 worksheets and carryover details. Do not discard those records because the current year’s utility bills are already organized. A current expense total does not reconstruct earlier treatment or the records behind it.

Put those documents in a continuing property folder and link it from the annual packet. Label the year and source of any prior carryover amount. If a number is missing, ask the preparer who handled the earlier return or locate the filed records. Avoid entering last year’s total simply because the correct current value is not yet available.

## Transfer prepared amounts only after the review

Ask the reviewer to identify the approved areas, percentages, expense entries, limitations and any carryover amounts for the form year. Retain the calculation record with the source packet. This makes it possible to explain where an output number came from instead of treating the PDF as the calculation’s source.
