A paystub can fit a lot of information into a small space, which is why an unfamiliar three-letter code can make an ordinary paycheck feel mysterious. Start by locating the heading above the code. An amount in Earnings means something different from an amount in Employee deductions or Employer contributions.

This is a reading method rather than a universal code dictionary. Payroll systems and employers choose their own labels. Keep the statement’s legend or payroll contact nearby, and confirm an unfamiliar code before deciding that money is missing. The examples below use fictional figures and explain the layout, not your individual tax calculation.

## Common labels, and the question each one answers

The IRS withholding estimator recognizes labels such as FIT and FITW for federal income tax withholding. OASDI commonly identifies Social Security; MED or Medicare identifies Medicare. These separate deductions should not be combined into federal income tax when entering information into a withholding tool. A line labeled simply Tax is less helpful: ask what it contains.

YTD means year to date, so it describes a time range rather than a kind of tax. A deduction can have both Current and YTD amounts. If FIT shows $110 current and $990 YTD, the first number belongs to this payment and the second is the accumulated figure shown by that payroll record.

| Label | Likely meaning | What to confirm |
| --- | --- | --- |
| FIT / FITW | Federal income tax withheld | Current amount or YTD total |
| OASDI / SS | Social Security | Employee deduction or employer contribution |
| MED | Medicare | Whether an additional Medicare line is separate |
| YTD | Year to date | Which earning or deduction it totals |
| REG / OT | Regular / overtime earnings | Hours, rate, and employer code legend |

## Read across the columns before adding anything

Imagine a regular-pay line with 40 hours, a $24 rate, $960 current earnings, and $19,200 YTD earnings. The multiplication explains the current amount. The YTD figure belongs to earlier payments plus the current one; it is not another $19,200 being paid today. A blank rate on a salary line is not automatically an omission.

Now check whether Hours has its own YTD column. A statement can show current dollars beside accumulated hours. Use column headings, not visual alignment alone. On a cropped phone screenshot, a missing heading can change the meaning of every number below it. Download the complete statement if you can, so the labels travel with the figures.

## Benefit codes need the employer’s explanation

Codes such as DEN, VIS, RET, or 401K may identify dental coverage, vision coverage, retirement contributions, or another benefit. They are useful clues, but their tax treatment cannot be inferred from the abbreviation. A retirement line may represent a traditional contribution, a Roth contribution, an employer match, or a loan repayment. Those are different entries.

Ask for the full deduction name, whether it reduces your cash pay, and whether it is an employee election or an employer-paid amount. Keep the benefits enrollment confirmation alongside the statement. If your dental deduction begins a month after coverage starts, the effective date and collection schedule are more useful evidence than a guess about the code.

## Separate employer costs, then ask about any unclear code

Some statements show the employer’s Social Security or retirement contribution for information. That does not make it an additional deduction from your net payment. Trace the gross-to-net calculation using only entries actually charged to the employee. If the printed net matches that calculation, an employer-cost panel probably belongs outside it.

For example, a fictional statement shows $1,000 gross, $200 total employee deductions, and $800 net. A separate $40 employer benefit contribution should not reduce net to $760. Before raising an issue, identify whether the $40 appears inside the employee deduction subtotal. This small check prevents an informational benefit from looking like missing wages.

Send payroll the pay date, the exact code, its current amount, and a short question: “Is BEN2 an employee deduction or an employer contribution, and what is its full name?” That is easier to answer than asking what every abbreviation means. Avoid including full bank details or taxpayer numbers in an ordinary email.

Once you get an answer, record it in a private note with the date. Recheck the note if the employer changes payroll systems or benefit plans; the same short code may be reused. When preparing a statement from actual records, use clear labels where possible. A readable document helps the next person follow the calculation without reconstructing your shorthand.

## Common questions

Does FICA mean federal income tax?

No. Social Security and Medicare are separate from federal income tax withholding. Identify the components before entering totals into a tax tool.

Can I rely on this dictionary for every employer?

No. Common abbreviations are clues. The employer’s legend and the statement’s section headings determine how a particular code is being used.

Why is a YTD deduction much larger than the current one?

YTD accumulates the amounts shown for the year; current describes this payment. Compare like columns and ask about resets or adjustments if the running total does not reconcile.
