# Paystub documents and payroll records

Prepare earnings statements from actual payroll records and understand the difference between statements, wages and tax reporting.

**Choose by the task**

Use an earnings statement to record an actual pay period. Start with the worker type, dates, compensation and deduction records. An employer-issued historical statement should come from the employer or payroll provider.

## A statement begins with payroll records

Collect compensation terms, work/earnings records, elections and deductions, payment information and prior YTD balances. A statement should be traceable to those records. Recreating an old period requires the correct year and opening totals, not only the most recent net deposit.

## Make the worker type clear

Employee and contractor statements have different purposes. Contractor compensation should not imply employee withholding or an employer relationship that did not exist. A sole proprietor’s business records may be more appropriate than an employee statement for documenting business income.

## Prepare, review and retain

Formz offers Classic, Modern and Compact layouts and up to 26 pay periods per order. Review the supported calculation coverage and every period. A downloaded PDF does not move payroll money or confirm a recipient’s acceptance of an income document.
