# W-2 vs. paystub: reconcile the right totals

Compare a pay-period earnings statement with annual wage reporting and understand why gross and W-2 wage boxes can differ.

**The quick answer**

A paystub shows a pay period’s earnings, deductions and often YTD amounts. A W-2 reports annual wage bases and tax withholding. A final paystub can help review a W-2, but it is not the same document and its gross earnings may differ from a W-2 wage box.

## Identify the time period and the purpose

Start by checking the year and employer. A paystub’s work period and pay date can differ, and annual payroll reporting follows the applicable rules. Compare records covering the same reporting year.

## Compare categories rather than only gross pay

Different taxable wage bases and benefit treatment can explain why gross earnings do not equal every W-2 box. Corrections after the last statement can also affect annual reporting.

Use payroll’s reconciliation for the actual difference. Do not subtract an arbitrary benefit amount to force matching totals; the treatment must be supported by the records.

## Review an apparent mismatch

Gather the final statement, W-2 and any subsequent payroll adjustments. Mark exactly which box or line is different so the employer can investigate it.

- Confirm the worker, employer and tax year.
- Compare federal, Social Security and Medicare wage bases separately.
- Compare the corresponding withholding totals.
- Identify documented benefit and correction adjustments.
- Request an employer explanation or corrected statement where needed.

## Request authentic missing records

If you need an official W-2 or employer-issued paystub, ask the employer or its payroll provider. A document entered in a generator does not retrieve the issuer’s history or verify its annual reporting.

Ask a lender or other recipient which document it requires before substituting one for the other. Acceptance is the recipient’s decision.

## Common questions

Can I use a paystub instead of my W-2?

They serve different purposes. Obtain the employer-issued W-2 for annual wage reporting and confirm any alternatives with the recipient or applicable IRS guidance.

Should every W-2 wage box match?

No. Different boxes represent different taxable wage bases. Use payroll records and the applicable instructions to explain differences.
