A missing W-2 often turns out to be an access or delivery problem: an old mailing address, a former-employee portal, or a document filed under the wrong year. Start with the original issuer before attempting to reconstruct anything.
The goal is an employer-issued statement for the correct calendar year. A PDF you prepare from paystub figures is not automatically a substitute for that statement. A clear request and a short follow-up log make the next step easier if the form still does not arrive.
Check the places where the employer issued it
Sign in through the payroll provider or employer address you already know. Look for Tax documents, Year-end statements or W-2, and check the selected year. Save the complete PDF rather than a cropped image of the wage amount. If a document is present but will not open, note the error and contact payroll about access.
Former employees may need a different login or a restored account. Check your own saved files and mail before requesting another copy. If you moved, verify the address the employer used. Do not assume that changing an address in a benefits portal also updated the payroll mailing record.
Send a request with the year and secure delivery question
Use an official HR or payroll contact. A practical message is: “Please provide my employer-issued W-2 for calendar year [year]. I worked from [start] to [end], and I cannot find it in the payroll portal. Please tell me the approved secure delivery method and whether you need to verify my mailing address.”
An employee reference may help payroll locate you. Avoid including your full SSN in an ordinary initial email. If identity verification is necessary, ask how the employer handles it. Keep the request narrow; the payroll team needs to know which statement is missing and where the delivery or access problem occurred.
Track follow-up without creating a second problem
Record the date, contact channel, person or team contacted, and promised next step. If payroll says it mailed the form, ask which address it used and when to expect it. If it says the form is online, ask for the official sign-in instructions rather than accepting an unexpected attachment from a new sender.
For example, a worker who left in August could keep three lines: requested access January 20; payroll confirmed former-employee login January 22; downloaded the statement January 23. That small log is more useful than several disconnected emails. If no answer arrives, follow up on the original request so the history stays visible.
Use the IRS missing-form process when necessary
The IRS says to contact your employer first. Its current missing-W-2 guidance explains what to do if you still do not have the form by the end of February, including calling the IRS and having your personal and employer information ready. Check that guidance for the current process before acting.
The IRS also describes Form 4852, a substitute form used in specified circumstances. That is a separate process with its own instructions. Do not simply create a standard W-2 from estimated figures and describe it as employer-issued. A missing document also does not make the tax-return deadline disappear; review the IRS filing guidance or get qualified help if timing is becoming difficult.
Check the document when it arrives
Confirm the year, employer identity, your name and the wage and withholding entries. Compare them with the annual payroll records you have. If the form contains an error, request a correction instead of quietly altering the copy. Keep the original and any later correction together.
Save the downloaded file in the correct year folder with a recognizable employer label. A file name such as “2025-W2-EmployerName-issued.pdf” is easier to find than “download-7.pdf” and does not expose a tax identifier.
