1099-NEC recipient copies and IRS filing are separate tasks

Understand Formz’s Copy B and Copy 2 output, why downloadable Copy A is different, and the steps after preparing a PDF.

The quick answer

Formz’s 1099-NEC output contains recipient Copy B and Copy 2. Preparing or furnishing those copies does not submit a 1099-NEC to the IRS. Filing requires the appropriate agency submission method and any applicable state process.

Know the actual output inventory

Check the copy label printed on each PDF page, not just the file name. Formz supports the following recipient-copy purpose; it does not provide an IRS submission receipt.

Do not paper-file a downloaded IRS Copy A

The official downloadable 1099-NEC warns that its online Copy A is informational and not suitable for paper filing with the IRS. A printout of that downloaded page is not the required scannable filing form. Other copies have different uses.

  • Review the IRS electronic-filing requirements and permitted methods.
  • If eligible to file on paper, obtain the appropriate official filing materials.
  • Treat recipient delivery and federal/state filing as separate completion steps.

Use a preparation-to-filing checklist

First reconcile payer/payee identity, year and reportable amounts. Next review each recipient page and use an appropriate furnishing method. Separately submit the required information return, retain acknowledgment evidence and address state reporting where applicable.

A clean downloaded PDF shows that the preparation workflow finished. It does not show that a recipient received it or an agency accepted it. Maintain evidence for each of those later steps.

Correct each affected responsibility

If you discover an error, identify whether the recipient statement, agency submission or both are affected. A correction made in the editor cannot retroactively change an agency filing. Follow the official correction instructions for the form, year and error type.

Common questions

Can I mail Formz’s Copy B to the IRS?

Copy B is for the recipient. It does not replace the agency filing copy or an accepted electronic submission. Review the filing instructions for the applicable year.

Does downloading the PDF mean my 1099 was filed?

No. Preparation, furnishing and filing are separate events. Formz provides the recipient PDF, and you complete required submissions through the appropriate channels.
