Reconcile payment records before preparing a 1099

Turn invoices, bank activity and payee details into a reviewed reporting worksheet without counting unpaid or duplicate entries.

The easiest 1099 mistake is starting with a pile of invoices and adding every number on the page. Invoices show charges; payment records show money movement. A reporting review needs to explain which transactions belong to which payee and which amounts belong in the selected form.

Build that explanation before typing figures into a PDF. A short reconciliation worksheet can expose duplicate vendor names, unpaid invoices, refunds and payment-method differences while there is still time to ask useful questions.

Start with the reporting year and payment category

Write the calendar year and form under review at the top of the worksheet. The 1099 family covers different payment categories. A service payment, rent payment and interest payment should not be combined merely because the same business paid them. Review the form instructions and thresholds for the actual year.

Do not make the current date your reporting year by default. A statement prepared in January may concern the previous year, and a correction may concern an older period. Label the source files and worksheet consistently so a preparer can see which transactions you included and why.

Build the list from transactions you can trace

Export the relevant ledger and payment detail. Keep the transaction date, amount, payee reference, payment method and invoice reference. Then compare those entries with the supporting payment records. Mark voided, refunded or disputed transactions for review rather than deleting them without an explanation.

For a fictional example, a supplier issued three $2,000 invoices but received only two payments during the period under review. The invoice total and payment total differ for a reason. Another invoice may have been entered twice in the bookkeeping system. The worksheet should show these differences instead of choosing whichever total is larger.

Resolve payee identities before totaling

Connect payments to the taxpayer record, including the W-9 where appropriate. Check whether different trading names or abbreviations refer to one payee, and whether similarly named suppliers are actually different taxpayers. Keep sensitive identifiers out of a widely shared reconciliation sheet; use a stable internal reference.

If a vendor changed its identity information, obtain the relevant documentation and identify which record applies. Do not split one payee into separate totals simply because the business name changed in an invoice template. Equally, do not merge two businesses because they share an address. Resolve the specific facts before the reporting total is approved.

Review payment methods and adjustments explicitly

IRS 1099-MISC and 1099-NEC instructions distinguish payments reported by payment settlement entities under the 1099-K rules, including payment-card transactions, from payments reported on those forms. This means that adding every payment method into one 1099-NEC total can produce duplication. Review the applicable instructions and actual transaction method.

Keep columns for gross payments, adjustments and amounts held for reporting review. A refund, reimbursement or mixed invoice should have a supporting explanation; its treatment is not determined by the label someone used in the bank memo. If you are unsure, give your preparer the underlying invoice and payment record rather than a net figure with the detail removed.

Approve the worksheet before preparing the document

Ask the responsible reviewer to confirm the payee, form, year, reportable amount and any withholding or state entries. Save the approved worksheet with the source material. A preparer should be able to trace each output box back to a reviewed amount without reconstructing the arithmetic.

After preparing the PDF, compare its identity fields and amounts with that worksheet. Recipient delivery and agency filing remain separate tasks. Common questions

Can I use total invoices as the 1099 amount?

Do not assume the invoice total is the reportable total. Reconcile actual payments, the payment category, methods and adjustments under the instructions for the form and year.

Does downloading a 1099 PDF complete IRS filing?

No. PDF preparation, recipient furnishing and agency filing are separate steps. Retain the appropriate evidence for each completed step.
