What the 1099 corrected checkbox does—and what comes next

Identify the error, preserve the original record and distinguish a corrected recipient PDF from a completed agency correction.

Checking CORRECTED on a 1099 tells a reader that the statement is intended as a correction. It does not send the revised information to the IRS, replace an earlier submission, or tell you which correction procedure applies.

Before changing the box, establish what happened to the original. Was it only a draft, was it sent to the recipient, or was it filed with an agency? The answer changes the work you need to do after preparing the new document.

Find the original record and its status

Locate the exact original statement, reporting worksheet and any submission or delivery evidence. Check the form type, calendar year, payer, recipient and account reference. A file with a similar name is not enough when several statements exist for one payee.

Record whether the original was prepared, furnished or filed, and when. If it was merely a draft that never left your workflow, the issue may be a preparation change rather than correction of a filed return. If you cannot determine the status, contact the person or provider responsible for the earlier submission before sending additional documents.

Describe the actual error, not just the desired outcome

Write down the field that is wrong and the evidence supporting its replacement. An amount error, a recipient-name error, an incorrect TIN and a wrong form type are different situations. The IRS general instructions describe correction procedures that vary with error type and filing method; some errors can require more than one return.

For a fictional amount-only issue, an approved worksheet might show $9,200 while the original statement reported $9,020. Your record should include both figures and the transaction detail establishing the intended amount. Do not change the identifier or form type at the same time without identifying and reviewing those separate errors.

Use the procedure for the form and filing method

Read the official instructions for the form, year and error. The correction instructions for paper returns are not a substitute for the rules of an electronic filing system. If a provider filed the original, establish how it handles corrections and what information it needs to connect the correction to that submission.

Avoid reducing the process to “check the box and upload again.” That can create a second original, fail to identify the old record or leave one part of the reporting unchanged. Keep the approved correction instructions or provider response with your worksheet so the person carrying out the next step understands the intended procedure.

Give the recipient an understandable replacement

When a corrected recipient statement is appropriate, review the final PDF for the correction mark and the revised entries. Tell the recipient which statement it concerns and that a corrected version is being supplied. Use an appropriate secure delivery method, and avoid repeating the full TIN in the message.

Keep the communication factual. For example: “Attached is the corrected statement for [form and year]. The reported payment amount was updated following our record review. Please retain it with the earlier statement.” Do not promise a particular tax outcome. The recipient may need its own return review depending on the correction and filing status.

Close the loop with delivery and submission evidence

Save the original, approved correction worksheet, revised document, recipient delivery record and agency or provider acknowledgment where applicable. Keep unresolved state-reporting questions on the task list. A payment receipt for document preparation is not an acknowledgment that an agency processed a correction.

Does checking CORRECTED update the IRS record?

No. The mark identifies the document’s intended role. The appropriate correction must still be submitted through the required agency or filing-provider process.

Can a recipient correct the issuer’s 1099 by editing a PDF?

No. Ask the issuer to investigate the error and follow its reporting correction process. Retain the original and supporting records.
