How to get pay stubs from your employer

Find employer-issued pay statements, request missing periods and check alternatives when a recipient needs income records.

The quick answer

For an employer-issued paystub, start with your payroll portal or HR/payroll department. Ask for the exact pay dates or periods you need. A PDF you create yourself is not automatically a replacement for an employer-issued record.

Check the original payroll source

Look for Earnings, Pay history, Statements or Documents in the employer’s payroll portal. Download the complete statement for each period rather than taking a cropped screenshot of net pay. Keep any page that explains deductions or YTD totals.

A former employee may have different portal access. Use the employer’s official contact channel to ask for restored access or a copy. Avoid sending an SSN or portal password in an initial email.

Make the request specific

A clear request makes it easier for payroll to identify the records. You can adapt this text: “Please provide my employer-issued pay statements for the pay dates [dates], or for the work periods [start and end]. Please let me know the secure delivery method and how I can request a correction if a statement is inaccurate.”

  • Identify the employer and your employee reference if you have one.
  • List exact pay dates or periods and the required format.
  • Ask how to obtain corrections, not just replacement copies.
  • Use the employer’s approved secure delivery method.

Confirm what the recipient needs

A lender, landlord or benefit administrator may ask for several consecutive statements, an employer verification or other records. Ask about the required date range and whether all pages are needed. The recipient’s acceptance rules determine whether an alternative is adequate.

A W-2 covers annual wage reporting, and a bank statement records deposits. Neither necessarily contains the hours, deductions and current-period detail found on a paystub. Provide alternatives only after confirming they are acceptable.

Handle missing or inaccurate statements

Document what is missing and compare it with your work and payment records. Ask payroll to investigate a discrepancy. A generator cannot retrieve an employer’s history or confirm that a disputed payment was made.

Federal and state requirements differ. The DOL explains that the FLSA does not itself require providing paystubs, even though wage/hour recordkeeping requirements apply. Consult the relevant state labor department if access or accuracy remains unresolved.

Common questions

Can I get old paystubs after leaving a job?

Ask the former employer or payroll provider about former-employee access and archived statements. Specify the periods needed. Availability and required retention or access rules depend on the applicable circumstances.

Can Formz retrieve my employer’s paystubs?
