A bank statement and an investment statement can both show money credited to an account, but their tax forms describe different types of income. Form 1099-INT reports interest information. Form 1099-DIV reports dividends and specified distributions. The label on the reporting form matters more than an informal description of the payment.
Keep the issuer’s categories intact when organizing your records. The first task is to connect each statement with the right account and year, then check the reported entries against the annual account information.
Read the form before naming the income
Form 1099-INT includes separate fields for different interest information and related entries. Form 1099-DIV distinguishes ordinary dividends, qualified dividends, capital gain distributions and other reported amounts. A broad label such as investment income hides distinctions the forms are designed to preserve.
Make an index with issuer, account reference, form type, year and file location. Use the exact form title from the statement. If the institution supplies a consolidated packet, note which form sections are inside it. That prevents a later reviewer from searching for a separate PDF that the institution never issued.
Avoid adding a subset to its total
On Form 1099-DIV, box 1b qualified dividends is a portion of the ordinary dividends reported in box 1a. Adding box 1a and box 1b as separate income totals can count the same dollars twice. Preserve both entries under their labels rather than creating an unlabeled combined figure.
For a fictional example, a statement with $900 in box 1a and $600 in box 1b does not show $1,500 of ordinary dividends. The $600 is included within the $900. This example explains the relationship between the boxes; it does not determine the tax rate or eligibility treatment for an actual investment.
Keep the interest fields separate as well
The 1099-INT instructions distinguish box 1 interest from interest on U.S. savings bonds and Treasury obligations in box 3, with additional fields for tax-exempt interest and other information. Do not move every interest entry into box 1 just because it is the first amount field.
Compare the annual statement with the account’s reported interest summary. If there is a discrepancy, note the category and the difference. A year-end balance is not an annual income total; it also reflects deposits, withdrawals and other account activity. Use transaction detail or the issuer’s annual reporting summary for the relevant comparison.
Review the complete consolidated packet
Open every page of a consolidated financial statement. It can contain multiple form sections, account detail and explanatory information. Mark which pages belong to 1099-INT, 1099-DIV or other reporting. Keep the complete original, even if your working sheet uses only a few entries.
Also check whether the institution has issued a corrected packet. Save the original and the revised version with clear labels, and ask which version should be used if the status is ambiguous. Two downloads of the same statement are not two sources of income. A corrected statement should not be added to the original as though it reports a second account.
Carry categories through the preparation and handoff
When preparing an authorized document from reviewed payer records, use the appropriate form and maintain the source categories. Compare recipient identity, year, each amount and any withholding entry with the approved worksheet. A zero, blank and reported amount can have different meanings; preserve the intended entry under the instructions.
